Membership terms
What you agree to when you join Cic Cymru Academy. Last updated [date].
1. What membership is
Membership is £39 a month and covers [one 45-minute session a week] for your child, in a group of up to 16 children with two coaches and a parent or carer attending. A one-off £25 registration fee is taken with your first payment and includes your child’s first kit and sticker book.
2. Reserving and paying
Reserving a place is free and takes no payment. Membership opens on 1 January 2027 and sessions start on 2 January 2027. Your first payment is taken on the day you activate your membership. After that, membership is billed monthly from your activation date.
3. Cancelling
You can cancel at any time in your family area, and there is no cancellation fee. To stop the next payment, cancel at least 2 days before your billing date. If you cancel in time, you keep access until the end of the month you have paid for, and no further payment is taken. Payments already taken are not refunded. The £25 registration fee is not refundable, because it goes towards your child’s kit and sticker book.
4. Sessions we cancel
If we cancel a session, we will rearrange it.
5. Sessions you miss
If your child cannot make a session, we will try to fit them into another session, but we cannot promise this because places are limited.
6. Christmas break
We close for two weeks over Christmas. [Dates to be confirmed.] The December fee is still charged, as it keeps your child’s place.
7. Health and safety
A parent or carer stays at every session and is responsible for their own child. Please tell us about anything that affects your child’s safety. We only keep your child’s health information if you say yes. See ourprivacy notice and our safeguarding policy.
8. Photos and videos
[We only take photos or video of children with your written permission, and we tell you where they will be used.]
9. Parent and carer rules
To keep sessions safe and enjoyable for every child, we ask all parents and carers to:
- Stay with your child throughout the session. You are responsible for them, and for any brothers or sisters you bring.
- Not photograph or film other people’s children. You are welcome to take photos of your own child for yourself, but please do not post or share images that show other children. We take photos only with parents’ permission (see section 8).
- Collect your child yourself, or tell us in advance who else will.
- Keep your child at home if they are unwell, and for 48 hours after any sickness or diarrhoea. Tell us about any allergy, condition or change that could affect their safety.
- Be kind and respectful to children, other parents, coaches and venue staff. We do not accept shouting at children or coaches, or abusive or threatening behaviour.
- Follow the venue’s rules. No smoking, vaping or alcohol, and keep to the areas we are using.
- Help us keep children safe. Tell a coach straight away if anything worries you.
If these rules are not followed, we may ask you to leave a session. In serious cases we may end your membership.
10. Changes to these terms
We will give you at least [30] days’ notice of any change to the price or these terms.
11. Your rights and contact
These terms do not affect your legal rights. If you have a question or a complaint, contact us at [email address] or [phone number].
